Preparations for Oral Presentation

1) Presentation – LIVE (Zoom Webinar)

Oral Presentations will be LIVE and broadcasted by Zoom Webinar at specific times on the scheduled dates.
Please prepare PowerPoint file for your live presentation following the instruction below.

*In case you have any problem during your live presentation, your pre-recoded video will be shared at Zoom Webinar. (See “2) Presentation video in MP4 for backup” below)

PowerPoint slide size & resolution:

  • - Widescreen format, using the 16:9 aspect ratio to utilize the full screen
  • - Resolutions: 1080p recommended / 720p minimum

2) Presentation video in MP4 for backup

Oral presenters are required to prepare a presentation video in MP4 format for backup in case you have any problem during your live presentation. The details of how to submit will be notified to presenting authors by email around middle of March.

Submission due date: April 13, 2023.

PowerPoint slide size & resolution:

  • - Widescreen format, using the 16:9 aspect ratio to utilize the full screen
  • - Resolutions: 1080p recommended / 720p minimum

Add your narration:

  • - Language: English
  • - Need to have audio narration embedded
  • - [Recommended] Put your narrating video on lower right side of each slide (a still photo will be accepted)
  • - Make sure that your face does not disturb your presentation slides

Convert your presentation to MP4:

  • - Convert the PowerPoint to MP4 (.mp4) (only mp4 format will be accepted)

Preparations for Poster Presentation

1) Presentation – LIVE (Zoom breakout rooms)

Poster Presentations will be mainly LIVE and broadcasted by Zoom breakout rooms at specific times on the scheduled dates.
At the beginning of poster session, 3 minute-short presentation video of all poster presenters will be broadcasted (3 minutes x 9 posters). After all videos are played, poster presenters and participants will go to zoom breakout rooms to have live discussion with participants.
The Poster presenters are required to prepare “a short presentation video” and “a poster in PDF file”. Please submit both in advance by April 13, 2023.
Please read the following instructions carefully and prepare your presentation video and poster.
The details of how to submit the PDF file and the short presentation will be notified to presenting authors by email around middle of March.

2) Create your short presentation video in MP4

PowerPoint slide size & resolution:

  • - Widescreen format, using the 16:9 aspect ratio to utilize the full screen
  • - Resolutions: 1080p recommended / 720p minimum

3) Create your poster PDF

Poster format and size:

  • - Your poster should include:
    • The paper title and all authors at the top of the poster
    • A brief introduction, goals, experimental detail, conclusions, and references; presented in a logical and clear sequence
    • Explanations for each graph, picture, and table
  • - Page, File Type/Size, Fonts, and Color:
    • 1 page
    • Please make sure the maximum size of your poster is 44” x 44” inches (112cm x 112cm).

    • Poster presentations can be created in a number of software applications but must be exported to PDF format for submission
    • The PDF file size must be less than 100 MB
    • Use easily-read type. Suggested minimum font sizes:
      • >Title: 36 point type
      • >List of authors: 25 point type
      • > Body copy should be double-spaced text: 15 point type
    • Choose your colors to provide strong contrast and avoid pairing red and green elements to assist those with red-green color blindness

Naming your file:

  • - Program number_your name (given_middle_family)_submission date.pdf
    e.g.) 8-xx_ Yosuke_Kojima _20230301.pdf
